Declining a client

Email · Emails and scripts Free Checked: October 2026

A polite no with one honest reason and a useful referral: not my specialty, no time, or the budget doesn't fit.

What it is

A no with no explanation hurts the relationship, and long apologies sound unsure. In the template you pick one reason, recommend where to turn instead and, if the reason is workload, give a date when you could come back to the conversation. A graceful no keeps the relationship: the person may return later or recommend you to friends.

SUBJECT: Re: [subject of their request]

Hi [Name],

Thank you for reaching out and describing the project in detail.

I'll be honest: I'm not able to take this on. [Keep one reason:
- It's outside my specialty: I work on [what], and this needs [what kind of specialist].
- I'm fully booked for the next [weeks / month], and you need to start [when].
- Within [budget], I can't do the work the way I think it should be done.]

To save you time:
- [contact for a specialist, or what kind of provider to look for]
- [a short tip on the project or a useful resource]

[If the reason is workload: I could come back to your project starting [date], if it's still relevant.]

Best of luck with the project.
[Your name]

HOW TO REFINE THIS WITH AI
"I need to decline a client. Their request: [paste]. My reason: [one sentence]. Write a polite no of up to 100 words: no long apologies, and one useful recommendation for their project. Don't promise anything that isn't in my draft."
